CRM for agencies and service businesses.

An agency does not sell a product. It sells hours and a result. The system has to say where each client stands, what was promised and how much of it is actually done, without a spreadsheet everybody keeps their own way.

The hard part of this industry

The data comes from outside, from platforms and tools the agency does not control, in different formats and with different names for the same thing. Before anything reaches a client it has to be joined, cleaned and reconciled, and that happens again every month.

  • Importing reports from external platforms, each in its own format.
  • Matching the same venue or client across different spellings.
  • A client report that holds up line by line.
  • Repeating monthly work that has to come out the same every time.

What we built

For an agency that runs delivery platforms and strategy for restaurants we built a CRM that takes in platform reports, joins them per venue and assembles the report that goes to the client.

Work that used to mean days of assembling spreadsheets is now an import and a check, and every figure in the report traces back to its source row, so any line can be explained.

What an agency usually asks for

These are the items that most often end up in scope for an agency CRM.

  • Clients, contacts and communication history in one place.
  • Quotes, contracts and renewals, with a reminder before expiry.
  • A monthly report per client, in the same shape every time.
  • A record of work done against the agreed scope.
  • Access rules, so a client sees their own data and nobody else's.

Automation that pays for itself

We automate what happens every month and always the same way first, because that is where the saving shows immediately. Work that happens twice a year stays with people, because automating it costs more than it returns.

Questions

FAQ

Can we keep the tools we already use?+

You can. We build the CRM to connect to what you have rather than replace it, and we only replace what nobody wants to defend.

What does the client report look like?+

A document the client understands without explanation, where every figure traces back to its source, so it can be checked when somebody asks where a number came from.

What if every client wants a different report?+

Then the report is assembled from the same parts, with the differences set per client. That way you maintain one system instead of ten templates.

How long does a rollout take?+

It depends on how many external sources there are and how tidy the data is. After the first conversation you get a written estimate with scope and timeline, and we do not charge for it.
